What This Service Is

SupportStudioK12 is an internal IT help desk system operated by the SupportStudioK12 Technology Department. It is used exclusively by district staff to submit and manage IT support requests.

We do not share your personal information with third parties. We do not sell, rent, or trade any data. We do not use your information for marketing purposes.

Website Analytics

Our public website uses no third-party analytics or advertising services: no Google Analytics, no advertising pixels, no session recording, and no tracking cookies.

We keep a first-party count of how many times each marketing page was viewed, stored as a single running total per page per day. That record contains no IP address, no device or browser information, no referrer, and no visitor identifier of any kind, and its finest time resolution is the calendar day. It is a tally, not a log of visits; the data cannot be used to identify a visitor or reconstruct an individual's path through the site, because that information is never collected in the first place. Pages inside the help desk itself are not counted at all.

Depending on which integrations your district has enabled, this system may use the following services to operate:

Data Retention and Deletion

Support ticket data is retained for as long as needed for operational purposes. Closed tickets are kept for historical reference and reporting.

How to request deletion. Deletion requests are handled by your school district, not by SupportStudioK12 directly. Contact your Technology Department. If a parent, guardian, or eligible student contacts us instead, we refer them to the district — the decision is the district's to make, and we act on their instruction. We respond to a district's request within 30 days.

What removal does. We remove the details that identify you: your name, email address, phone number, any staff or student identifier, and any stored summaries the system had generated about you. The account is deactivated at the same time.

What is kept, and why. The tickets, comments, work history, and device records themselves remain in place, with your identity removed from them. These are your district's own operational and audit records — what was reported, who worked on it, which equipment went where — and the district needs them to run and account for its technology program. So a removal is not the erasure of every trace that something happened; it is the removal of your identity from records that continue to exist.

Where your name appears inside text that someone typed — a ticket description, for instance — your district reviews those entries individually and decides what to do with each. Names cannot be stripped out of free-form writing reliably by software: an automated pass misses nicknames and alters unrelated records that happen to share a surname.

If your account comes from your district's directory. Where accounts are created automatically from Microsoft Entra ID or Google Workspace, your district must also remove or exclude you in that directory. Otherwise the next synchronization creates the account again from the source.

Data Security

All data is transmitted over encrypted connections (HTTPS). The application uses server-side sessions, role-based access control, and per-tenant data isolation. The platform is hosted in a US-based datacenter (Hetzner Cloud, Ashburn, Virginia). Per-tenant integration credentials (API keys, OAuth secrets) are encrypted at rest before being stored.

FERPA Compliance

To the extent that any student-adjacent information (such as student names on loaner records) is stored in this system, it is treated in accordance with the Family Educational Rights and Privacy Act (FERPA). Access to such information is restricted to authorized technology staff.

SMS Communications and Mobile Information

SMS participation is optional and requires your express opt-in. You register your own mobile number in your help desk profile and confirm it with a one-time verification code before any messages are sent. If you register your phone number for SMS support:

No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared, sold, or rented to any third party for any purpose. Your mobile number is used only to operate the IT help desk service described above, and is disclosed only to the messaging carrier and to our SMS delivery provider strictly as necessary to transmit those messages.

Messages you send to the help desk number become part of the support ticket they create or update, and are retained on the same basis as any other ticket content.
